The Convention Services Manager provides the highest quality customer service to meeting planners, convention attendees, exhibitors, vendors and all others associated with the successful functioning of conventions and meetings.
DUTIES & RESPONSIBILITIES:
Manage services to assigned accounts across all market segments to ensure a successful meeting in Northeast Florida and to retain future business.
Determine servicing and support requirements of each organization with its respective meeting planner.
Coordinate Visit Jacksonville resources and local community resources to fulfill the needs of the meeting planner.
Communicate issues and updates on these accounts to Sales Managers.
Document service activity in central database, iDSS.
Welcome group on site and prepare welcome amenities as needed.
Assist Event Specialist and Sales Managers with Sales Department FAMs
Track recurring business to service the groups and record room nights.
Support Sales Managers during site inspections for future business.
Coordinate and lead pre-planning client visits.
Entertain customers at meals and events with and independent of sales partners.
Build excitement and increase attendance in Jacksonville by attending conventions the year before they are held in Jacksonville.
Provide Visit Jacksonville marketing materials (photos, videos, text).
Support planner efforts through social media.
Distribute Visit Jacksonville and tourism industry collateral to support planner and attendees.
Customize convention specific materials.
Provide targeted services including welcome programs, signage and gifts.
Build and maintain tourism industry relationships to keep current with the services they provide to the convention industry.
Participate in tourism industry events and visits.
Issue leads and referrals to tourism industry businesses to secure goods and services for meeting planners.
Meet regularly with sales and services team to discuss our goals, upcoming and past conventions and to talk about any issues or concerns.
Accounting and meeting planning skills are the keys to success for this position.
Coordination skills are required to manage information coming from multiple sources.
Strong oral and written communication skills.
Aptitude for time management, organization and attention to detail
Enthusiasm to perform the job with efficiency and creativity
Ability to work well with other staff and perform as a team player
Working knowledge of computer applications- Microsoft Office products and database management programs
