The Senior Convention Services Manager manages the Convention Services Department to provide the highest quality customer service to meeting planners, convention attendees, exhibitors, vendors and all others associated with the successful functioning of conventions and meetings.
DUTIES & RESPONSIBILITIES:
Administer an annual department budget, set departmental goals and generate numerous reports for internal and external use. Set performance goals for leads and referrals.
Manage the Sales & Services team in the absence of the VP, Sales & Services.
Conduct training, annual performance reviews, quarterly one-on-ones and coaching and counseling with the Services team, as needed.
Set and monitor Convention Services policies and operating standards.
Assign definite bookings to services team (to be assigned by calendar needs basis).
Manage promotion amenity inventory.
Manage services to assigned accounts across all market segments to ensure a successful meeting in Northeast Florida and to retain future business.
Determine servicing and support requirements of each organization with its respective meeting planner.
Coordinate Visit Jacksonville resources and local community resources to fulfill the needs of the meeting planner.
Meet regularly with sales and services team to discuss our goals, upcoming and past conventions and to discuss any client or partner issues or concerns.
Provide monthly and quarterly Convention Services reports and document services activity in iDSS.
Support Sales Managers during site inspections for future business, as needed.
Coordinate and lead pre-planning client visits.
Assist in developing collateral to build interest and increase attendance for Jacksonville meetings.
Provide Visit Jacksonville marketing materials (photos, videos, text, social media).
Distribute Visit Jacksonville and partner collateral to support planner and attendees.
Provide targeted services including welcome programs, signage and gifts.
Build and maintain partner relationships to keep current with Visit Jacksonville partner and the services they provide to the convention industry.
Participate in partner events and partner visits.
Issue leads and referrals to partners to secure goods and services for meeting planners.
Perform special projects and other responsibilities as assigned.
Accounting and meeting planning skills are the keys to success for this position.
Coordination skills are required to manage information coming from multiple sources.
Strong oral and written communication skills.
Aptitude for time management, organization and attention to detail
Enthusiasm to perform the job with efficiency and creativity
Ability to work well with other staff and perform as a team player
Working knowledge of computer applications- Microsoft Office products and database management programs
